Description:
The Part Time Office Manager for Althea's Camarillo site will be responsible for day-to-day office management and communications with Althea Technologies' San Diego home office. The successful candidate will answer and screen incoming telephone calls, determine purpose of callers, and forward calls to appropriate personnel or department. Additionally, he/she will organize and maintain filing system, create folders and file correspondence. The Part Time Office Manager will retrieve messages from voice mail and forward them to appropriate personnel; he/she will also take and deliver messages or transfer calls to voice mail when appropriate personnel are unavailable. The Part Time Office Manager will answer questions about organization and provide callers with address, directions, and other information. When appropriate, the successful candidate will welcome on-site visitors, issue visitor badges, determine nature of visit, and will announce visitors to appropriate personnel. The successful candidate will be expected to present a professional image & interaction with visitors & contacts. Responsibilities will include receiving, sorting, and routing mail. The Part Time Office Manager will process all invoices for the Camarillo site and will coordinate with the Accounting Department at the San Diego site. This position will also coordinate with Althea's Human Resources Department when necessary. In addition, he/she will assist in sending, retrieving and distributing incoming faxes and express deliveries. The Part Time Office Manager will create and print fax cover sheets, memos, correspondence, reports, and other documents when necessary. Responsibilities will include ordering and maintaining general office supplies and basic kitchen supplies. He/She will perform other clerical duties as needed, such as filing, photocopying, collating and updating contacts database.
Requirements:
The qualified candidate will have a High School Diploma or equivalent, with an Associates Degree preferred, and at least one to three (1-3) years relevant administrative experience. The Part-Time Office Manager will be expected to work a minimum of 4 hours per day. The qualified candidate will be detail-oriented with strong written and verbal communication skills. Proficiency with Microsoft Office applications is a must. A working knowledge of basic office equipment is required. The ability to work independently, within prescribed guidelines, or as a team member is valued. This position will be located at Althea Technologies' Camarillo, CA site.
